2nd Departmental Meeting

Activities:

As I was constantly having more conversation and discussion in Whatsapp group, I noticed that the decision cannot be made just by using Whatsapp as a platform. Hence, second departmental meeting is required to let me discuss openly, receive suggestions and to make decision together.

The motives for this meeting would be:
1. Finalized the materials and tools needed.
2. Track the progress and performance of each members for their task.
3. Assigned new tasks for each member, after they completed their current task.
4. Discuss about where and when would be the best to buy the materials

The meeting is mainly divided into two parts, first is about fundraising and second part is about movie night.

My task: To come out with a fundraising schedule for all the departments. And inform other HODs about their department's schedule and roles.





Outcome of the fundraising:
- We decided to buy at nsk food trading centre, tesco, and other.
- We came out with a list to buy
- We decided to separate into different teams to buy different items at different locations, as there are no one place that have everything
- Assign everyone their roles and task during the day for fundraising.
- For their roles, girls would be preparing the food while the boys would be delivering the food.
- All the members in the social engagement group required to share the food ordering whatsapp's post in their respective Whatsapp group.

Outcome for movie night:
- Last confirmation for all the dates, which later the date is being postponed.
- Check the quality of the movies needed to be screen.
- Assigned the members with their respective jobs and role for movie night.
- Confirm their attendance during movie night.

Problems faced:
- Some of the members could not commit due to kk projects, deans cup and also feseni competition.
- Nobody volunteers to buy the materials but luckily Yee Wan and Khong Cheng agreed to buy the things which make this fundraising possible.

Fundraising 101 - A guide for all members

Fundraising 101  First of all the menu, 1. Maggi-style Yakisoba bread aka Maggi in the bread 2. Sausage cup/ Hotdog cup 3. Kacang putih 4. Pillow biscuits  5. Popcorn (movie night)  6. 100plus drinks, Chrysanthemum tea, Lemon tea (for movie night) What to do during fundraising?   - We will need every member to share the whatsapp order list in their respective kk (residential college)’s whatsapp group. - The order will be closed at 5pm and then order list was then send back inside the HOD group by the HOD. - The responsible HOD, will then send the order list to department group. - The leader for the preparation department will have to collect the materials from KK3 (third residential college) at 5pm. -   Preparation department can start cooking once got the order list and preparing the order. Intel Aspire Minds Workshop

An important update is that our main event had changed to be cooperating with Intel for their event. We are no longer going to have a workshop in our faculty, yet we took up the change to work with Intel. This decision was sudden, yet all of us agreed to take up this event as our event activities and aim were quite similar. We were glad to host the event as we get trained by the professionals and the event gave an larger impact which is what we were looking for. Date: 6/4/2018 Venue: MM3, FSKTM Activities: On 5th of April, we do have a short meet up for all the HODs with Faiz, to get updates for 6/4/2018. While on 6/4/2018, we had our morning session workshop with Faiz, in which he described our tasks, and the procedure to build a robot car.
